Finance and Projects Administrator – 4 days per week

Location:         Based in The Hague

Reporting to:   Compliance and Programme Controller

Availability:       32 hours (4 days) per week 

Period:             Starting June 2023. We offer a one-year contract, with the possibility to extend.

This is an excellent opportunity for English- and French-speaking candidates with experience in financial administration to work for an international human rights organisation with an HQ office in the Hague and country offices in Central African Republic and (in the near future) Ukraine and Burundi. As a small but growing organisation, we are looking for a flexible candidate who can implement our day-to-day financial administration and support the team with project budgets, donor reports, and organisational audits.

The applicant we are looking for will have at least 3-5 years of relevant experience, is accurate, has a hands-on approach, and strong inter-cultural communications skills. This person is a real team player, has a sincere interest in the topic of human rights and is keen to work in the non-profit sector.

Job overview

For this role we envisage an all-round financial person with at least 3-5 years of experience in a comparable international (preferably NGO) setting, who is driven, passionate and highly accurate. The Finance and Projects Administrator is responsible for the smooth running of the organisation’s financial administration through day-to-day implementation of financial processes. This includes processing and paying invoices and expense declarations, booking income and expenditure in Elvy and Exact online, supporting financial reports and audits, and facilitating all external financial matters. Furthermore, the Finance and Projects Administrator assists the Compliance and Programme Controller with preparing donor reports, developing project budgets for grant applications, and managing asset procurement and tracking/depreciation.  

Overall Responsibilities

  • Day-to-day financial administration
    • Managing Accounts Receivable and Accounts Payable using administration systems Exact and Elvy 
    • Downloading monthly credit card statements and matching them to corresponding invoices 
    • Timely follow up with credit card holders on submission of expense reports on a monthly basis  
    • Preparing weekly payment batches 
    • Checking and processing staff and partner expense reports  
    • Monitoring outstanding creditors and debtors and follow up as appropriate 
    • Participating in payroll processes 
    • Collect, file and process staff timesheets  
  • External financial matters and communications 
    • Communicating with the bank in case of inquiries or issues (failed payments, fraudulent activity) and changes to make (payment permissions, online banking access, etc.) 
    • Serving as contact person for MF business credit cards – requesting new cards, de-activating cards, reporting issues, etc. 
    • Monitoring and managing the finances@mukwegefoundation.org inbox 
  • Budgets, reporting and audits
    • Preparing donor reports in collaboration with the Compliance and Programme Controller 
    • Support with projects control by ensuring proper and accurate project cards are provided monthly  
    • Support with timely project financial information in the organizational Planning and Control Cycle 
    • Assist in developing project budgets for tenders and grant applications  
    • Assist in monitoring grants disbursements from donors  
    • Booking country office reports monthly in Exact  
    • Assisting with 4M, 8M and 12M reporting and with institutional and project Audits 
    • Work with our external accountant in preparing annual accounts  
  • Ongoing procedural support
    • Together with the Compliance and Programme Controller, improving financial controls within the organisation 
    • Assisting the Compliance and Programme Controller and Office Manager with procurement, logistics and risk management processes  
    • Facilitating the assets tracking and depreciation for organisational computer equipment purchased, together with the Office Manager and external accountant 

Required Qualifications, Skills and Competencies

  • Relevant educational background in Finance, Accounting or Economics  
  • Proven work experience as a Finance Administrator, Finance Assistant, or similar role 
  • Advanced knowledge of MS Excel  
  • Strong knowledge and experience of accounting software packages 
  • Experience with Exact Online is required
  • Experience with Elvy DS and Elvy Web is considered an asset
  • Good understanding of bookkeeping procedures (preferably RJ 650) 
  • Fluency in English and good command of spoken and written French (additional languages, especially Dutch, are a plus) 
  • Time-management and organisation skills 
  • Hands-on attitude, proactive mindset 
  • Analytical skills, logical reasoning and accuracy 
  • Good interpersonal and communication skills 
  • Experience in a similar role in an international NGO is a strong plus 
  • Always maintaining high standards of integrity and confidentiality 

What we offer

  • 1-year contract based on 32 hours per week with the possibility to extend
  • Full-time gross salary range of € 3263 – € 4057 (depending on experience), to be pro-rated to 32 hours
